American College of Obstetricians and Gynecologists (ACOG), a membership organization dedicated to the advancement of women’s health care in Washington, DC, is currently seeking a Program Specialist.

The Program Specialist is responsible for supporting the daily operations, programmatic initiatives, administrative logistics, and events and activities related to assigned program(s) and or projects.

Network and collaborate with leadership and stakeholders to ensure alignment with programs mission, goals, and objectives.

Oversee program logistics, activities and projects, including document and resource review and development and federal and non-federal grant applications and award activities, reporting, and deliverables.

Assist with the evaluation and develop of program initiatives to promote program growth.

Develop and maintain positive relationships with internal and external stakeholders.

Support content development for program webpage and or social media platforms.

This is a 100% grant-funded position.

As a result of COVID-19, ACOG employees are working in a temporary remote capacity.

This is temporary, and normal business hours and in-office duties will return to normal once federal and state guidelines deem it is safe to return into the office.

Employees are expected to return to ACOG’s National office located at 409 12th, Southwest Washington DC, 20024.


Key Duties and Responsibilities.

Provide administrative support including transcribing, proofreading, finalizing and distributing correspondence and meeting minutes; maintaining subject files for multiple projects; maintaining record of program budget expenditures and processing bills and travel requests; copying correspondence and documents; coordinating mailings; ordering supplies.

Manage and maintain up to date content on department webpage(s) and resources, keeping the web content current and consistent with guidelines from ACOG and the Centers for Disease Control and Prevention in collaboration with the Director.

Ensure web links are accurate and develop new content as needed.

Participate in the development and execution of grant and non-grant related projects.

Help prepare materials for grant proposals and reports and collaborate with leadership on new and current projects.

Schedule conference calls as necessary and develop agendas for calls and meetings.

Participate on grant check in calls with funders and provide updates when needed.

Assist in the development and editing of promotion plans, including social media content, email blasts, newsletters, and other electronic media resources of activities and resources, in collaboration with the Director and appropriate ACOG teams.

Assist in the development of dissemination plan and provide promotional language to appropriate ACOG teams and share promotional materials and activities with outside organizations as applicable.

Coordinate logistics and planning for all Work Group Meetings and provide all required documents and information to ACOG Meetings Manager.

Oversee hotel contract acquisition, meeting notices and roster development, and create and distribute electronic agenda materials in consultation with the Director.

Provide support before and during meetings and process travel expenses for work group members following the meeting.

Assist with coordinating document and resource development and review process.

Prepare and distribute work group documents for review; coordinate work group e-mail manuscript review; maintain lists of current members of each review body; gather and compile review responses.

Track manuscript development and notify authors of upcoming deadlines.

Prepare and distribute monthly progress reports of documents; update Practice document database; obtain cited references from Resource Center and coordinate reference citation verification for documents; maintain document files.

Prepare manuscripts for publication including revising references after verification, reference numbering, manuscript formatting, preparing submission form and memo; and distributing final manuscripts.

Assist with development, review, and publication of fact sheets, posters, tool kits, and other materials in consultation with Director and Clinical Products team.

Prepare materials for distribution.


Bachelor’s degree required.

2-3 years office experience with project management-related activities; experience with healthcare issues and medical terminology preferred.

Strong written and oral communication skills Knowledge of computers, including Windows, MS Office applications, and Adobe Acrobat Experience with website maintenance strongly preferred.

Excellent spelling and proofreading skills Ability to work with others, to meet deadlines and to handle a diverse workload.

Demonstrated ability to set own priorities, to follow through on assignments without supervision, to show good judgment and attention to detail.

Flexibility to work on several projects at once.

Good telephone manner and ability to relate well to a variety of people.
